1. Budgets
Provide information on project costs and resources to allow the budget holder to track costs against budget, during the project lifecycle
2. Business Cases
Create the client based Business Cases using a standard template, which conforms with PrinCE 2.
3. Business Requirements
Give necessary consultancy to allow the client to document their business requirements.
4. Change Control
Prepare Request For Change (RFC) documentation and liaise with the implementation vendor to gain costings. Present the change management strategy to End Users through workshops.
5. Communications ¨
(1) Document and present all aspects of communication through the project lifecycle to every level, from Project Board to End Users
6. Contracts
Provide assistance in the review of software/hardware contracts
7. Data Migration/Upgrades ¨
(2) Review and provide consultancy where appropriate, whilst working with 3rd party suppliers, on data migration elements and database/application upgrade planning.
8. Disaster Recovery
(3) Plan and document a disaster recovery plan, covering both business and system resurrection. Include 3rd party supplier for hardware and communications elements.
9. E-Government
Managing e-Government projects to meet Gershon Priority Outcomes and the National Procurement Strategy.
10. Issue Logging
Ensure that during User Acceptance Testing (UAT), and post Go-live, the relevant mechanisms are in place for logging application/project issues.
11. Project Documentation
Creation of all project documentation in line with the requirements of PRinCE 2, which will form the base project documents for regular review. Ensure that all documents are the same format and are PRinCE 2 compliant.
12. Project Initiation
Create the Project Initiation documents and ran project kick-off meetings to inform all client resources of the project format/roles/plans.
13. Project Library
Ensure that all project documentation is held on a central server, and is available to all client project individuals.
14. Project Planning
With the aid of MS Project, plan the relevant resource availability against project tasks/deliverables within Project Stages.
15. Project Resourcing
Ensure that the relevant skills are brought into the Project Team as and when they are required. Managing the client user groups, to ensure that the Project Executive are focused in driving the project forward. Define the client’s roles and responsibilities for the project.
16. Project Reviews
Monitor progress against the planned timetable, escalating any deviations and take remedial actions where appropriate. Hold regular meetings with the User Group to keep them informed of key issues and project progress.
17. Quality
Prepare a Quality plan and Quality checklist template for adoption by the clients QA Team. Review project quality approach and instigate creation/update of test plans, to adhere to any predefined Quality System.
18. Reporting
Report project progress to the project board at predefined intervals, using a Project Highlight Report.
19. Risk Analysis
Analyse and document both Business and Project Risks.
20. Tender Process
Using the OJEC procedure analyse prospective implementation vendor responses to the ITT, and advise client on most suitable vendor. Assist with the consolidation of information, and formatting of the Tender documentation.
21. Testing
Give advice and plan for User and System testing, including interfaces and regression testing for upgrades.
22. Training
Plan the User training on a ‘train the trainer’ basis.
